BalanciaPro®: from lab balance to batch record, without re-typing
01

The challenge

In pharmaceutical and similar plants, materials are weighed and dispensed against a batch record. Operators read weights off lab balances and wrote them into paper records by hand: slow, error-prone, and a recurring finding in GMP audits.

The same habits led to calculation errors, batches that were hard to trace, delayed reporting, mismatched inventory and stressful audit preparation. Shop-floor Wi-Fi and internet access couldn't be relied on either.

02

What we built

We built BalanciaPro®, an Android and server-based dispensing management platform. Tablets installed at each dispensing booth connect to Bluetooth weighing balances and guide the operator through every step, from batch selection and material verification to a live weight display and a confirmed record.

Records sync to an on-premises server on the factory's local network, where supervisors, QA and management see real-time dashboards, and every action is stored in an electronic audit trail that exports as a PDF.

03

The outcome

Weights go from the balance straight into the record with no re-typing, every batch can be traced from assignment to completion, and dispensing keeps working without an internet connection.

How it helps, area by area.

01 Who it is for

Regulated manufacturers that weigh and dispense materials.

The problem

Paper-based dispensing records are slow to produce and hard to defend in an audit.

BalanciaPro® is built for plants that work to GMP and need a dependable record of every weighing.

  • Pharmaceutical plants: tablets, capsules, injectables and APIs
  • Nutraceutical and Ayurvedic or herbal product facilities
  • Cosmetic manufacturers
  • Contract manufacturers (CMOs)
02 Guided dispensing

Nine steps from batch assignment to report.

The problem

Operators relied on memory and paper checklists, so steps were skipped and mistakes slipped in.

The tablet takes the operator through a fixed workflow, with each step recorded as it happens.

  • Supervisor assigns the batch and the operator logs in
  • Operator selects the batch and verifies each material by barcode or code
  • Balance connects over Bluetooth and the live weight shows on screen
  • Record is saved and confirmed
  • Data synchronises to the server and a report is generated
03 Balances & tablets

Bluetooth balances feed weights directly into the record.

The problem

Typing a weight from a display into a form is where transcription errors begin.

Several weighing balances can be connected across booths, each with its own load capacity, and the weight is captured in real time without the operator typing it.

  • Multiple Bluetooth balances per facility, Bluetooth LE and Classic
  • Real-time weight capture from the connected balance
  • Native Android app for 7 to 10 inch tablets, Android 8.0 or later
  • Booth-level installation over the plant's wireless LAN
04 GMP & audit trail

Audit-ready records, without the scramble.

The problem

Preparing records for an audit meant hours of collecting and cross-checking paper.

Every action is stored with who did it and when, in tamper-evident records built around ALCOA+ principles, and audit-ready reports export as PDF on demand.

  • Electronic audit trail with identity and timestamp
  • ALCOA+ principles built into the records
  • Complete batch traceability from assignment to completion
  • One-click PDF export for audit-ready reports
05 Roles & dashboards

The right view for each person on the floor.

The problem

Supervisors, QA and management need different information, and operators should see only what they need.

Six configurable roles carry module-level permissions, and each gets a dashboard suited to its work.

  • Roles: administrator, supervisor, operator, QA reviewer, inventory controller and management
  • Operator view: task queue, material selection and live weight
  • Supervisor view: batch creation, floor monitoring and activity logs
  • Management view: batches, productivity and material consumption
  • Batch, consumption, operator and audit reports, all exportable to PDF
06 On-premises by design

Runs on the factory's own network, no internet needed.

The problem

Many plants cannot rely on cloud connectivity on the production floor, or are not allowed to depend on it.

All data is held on a local server inside the facility, and tablets sync over the plant's wireless LAN. Materials and users can be loaded from CSV files, and backups follow a configurable local schedule.

  • Local server on Windows or Linux with a central database
  • Works without an internet connection
  • Automatic sync of dispensing records to the server
  • CSV import for materials and users
  • Multi-user concurrent sessions and configurable local backups
